Warehouse
In IncoPOS, warehouse management is organized by defining separate locations (sites), between which goods can be moved while tracking their availability, cost price, and movement in real time. The system provides flexibility for both small warehouses and large facilities with thousands of items.
Below are the main aspects of how IncoPOS operates in a warehouse environment:
1. Organization of Items and Locations
• Grouping and import: Items can be organized into groups (e.g., “Detergents,” “Clothing”), making them easier to search and manage. Items can be added manually or imported in bulk from external files.
•Multiple warehouses: Separate locations can be created in the system (e.g., “Warehouse,” “Warehouse 2”), with stock levels tracked individually for each one. When a specific location is selected, you see only its stock, but it is also possible to view total quantities for the entire company.
2. Core Warehouse Operations
•Purchase:This is the starting point for receiving items from a supplier. It defines purchase and sales prices and increases stock in the selected warehouse. The system supports both weighted average cost and lot (batch) tracking.
•Transfer: Allows goods to be moved between two warehouses (e.g., from the main warehouse to a regional office). This operation does not change the total quantity in the system but updates the balances of both locations.
•Stock-taking (Inventory check):Used to reconcile system quantities with physically counted stock. IncoPOS supports barcode scanners for fast quantity entry. The system automatically calculates differences and their value based on purchase or sales price.
Write-off and Waste: Used to remove items from stock due to damage, expiration, or internal company consumption.
3. Sales and Invoicing
•Flexible pricing: Different price groups can be assigned to each partner, allowing automatic application of customized price lists during sales.
•VAT handling: Warehouses often operate with prices excluding VAT, which is added to the total document value. IncoPOS supports both VAT-inclusive and VAT-exclusive workflows.
•Combined invoicing: You can perform multiple sales to a single client throughout the month and issue one consolidated invoice at the end, optimizing document management.
4. Reporting and Traceability
The system offers a rich set of 40+ warehouse-specific reports, the most commonly used are:
• Items movement report: A detailed history of every receipt, sale, transfer, or audit operation.
• Stock as of date: Allows you to see the warehouse status at any past moment.
• Financial analysis: Reports on profit by product, location, or partner.
Thanks to IncoCloud, information can be synchronized automatically between remote warehouses and offices, without the need for expensive servers or VPN connections.
